This Privacy Policy explains how IgniteHQ ("IgniteHQ," "we," "us," or "our") collects, uses, shares, and protects information when advisory firms, advisors, staff, clients, and prospective clients use the IgniteHQ website, client portal, advisor dashboard, secure vault, onboarding tools, and related services.
1. Our Role
IgniteHQ provides software for financial advisory firms and their clients. IgniteHQ is not a financial advisor, broker-dealer, custodian, tax preparer, accountant, insurance advisor, or legal advisor. Advisory firms using IgniteHQ remain responsible for their client relationships, advisory services, regulatory obligations, and any firm privacy notices or disclosures they provide to clients.
When an advisory firm uses IgniteHQ, we may process information on behalf of that firm to help deliver client onboarding, financial planning workflows, secure document exchange, profile management, advisor/client collaboration, account security, and related support.
2. Information We Collect
Depending on how IgniteHQ is used, we may collect the following categories of information:
- Account and identity information, such as name, email address, phone number, firm affiliation, role, and account status.
- Client and household profile information, such as household members, dates of birth, contact details, planning preferences, goals, and risk tolerance responses.
- Financial planning information, such as assets, liabilities, budgeting information, goals, tax-planning inputs, business details, equity compensation inputs, and other planning data entered into the service.
- Secure vault information, including documents uploaded by a client, advisor, staff member, or advisory firm.
- Communication information, including onboarding links, invite records, transactional email records, text-message content and metadata when texting is enabled, notes, tasks, and support communications.
- Authentication and security information, such as login timestamps, verification events, trusted-device records, device/browser information, password reset events, and related access logs.
- Technical information, such as IP address, browser type, device type, operating system, pages visited, error logs, and usage data used to operate, secure, and improve IgniteHQ.
3. How We Use Information
We use information to:
- Provide, operate, secure, and improve IgniteHQ.
- Create and manage firm, advisor, staff, client, and household accounts.
- Support onboarding, advisor prefill workflows, client collaboration, and planning tools.
- Store and retrieve secure vault documents.
- Send transactional emails, invitations, password resets, service notifications, and, when enabled, text messages.
- Provide login security, trusted-device management, fraud prevention, access controls, and audit records.
- Respond to support requests and administrative inquiries.
- Comply with applicable law, enforce our terms, and protect the security and integrity of IgniteHQ.
We do not sell client non-public personal information.
4. How We Share Information
We share information only as needed to provide, support, secure, or comply with obligations related to IgniteHQ, including:
- With the advisory firm and authorized firm users. Client information may be visible to the client's advisory firm, assigned advisors, authorized staff, and users approved by the firm.
- With service providers and subprocessors that help us host, secure, deliver, and support IgniteHQ.
- With CurrentClient when a firm enables texting through the CurrentClient integration.
- For legal, compliance, safety, or security reasons, including responding to lawful requests or preventing misuse.
- In connection with a business transaction, subject to appropriate confidentiality and privacy protections.
- With consent or at the direction of the relevant user, client, or advisory firm.
We do not permit service providers to use client information for their own marketing purposes.
5. Financial Privacy and Non-Public Personal Information
IgniteHQ may store or process information connected to financial planning. Some of that information may qualify as non-public personal information. We protect this information using administrative, technical, and organizational safeguards and limit disclosure to uses needed to provide IgniteHQ, comply with law, protect security, or as otherwise authorized by the advisory firm or client.
Clients should also review the privacy notice provided by their advisory firm. The advisory firm's privacy notice may describe additional practices that apply to the firm's collection, use, and disclosure of client information.
6. Security
IgniteHQ uses safeguards designed for sensitive financial-planning workflows, including encrypted connections, role-based access controls, firm and household data separation, login security controls, secure file-handling practices, audit/security event tracking, vendor review, and server-side authorization checks for sensitive workflows.
No system can be guaranteed 100% secure. Users should protect login credentials, use available security features, keep devices secure, and promptly report suspected unauthorized access.
7. Data Retention
We retain information for as long as needed to provide IgniteHQ, comply with legal and regulatory obligations, support advisory firm recordkeeping needs, resolve disputes, maintain security, and enforce agreements.
Advisory firms may request deletion, export, or retention changes for firm-controlled data, subject to legal, regulatory, backup, audit, and security requirements.
8. Cookies and Browser Storage
IgniteHQ may use cookies, session storage, local storage, and similar technologies to keep users signed in, remember security preferences, support trusted-device functionality, maintain session security, preserve temporary app state, and improve the service. Disabling cookies or browser storage may affect login, security, and dashboard features.
9. User Choices and Rights
Depending on applicable law and the user's location, users may have rights to access, correct, delete, export, or restrict certain personal information. Clients of advisory firms should generally contact their advisory firm first because the firm controls the client relationship and many records within IgniteHQ.
10. Children's Privacy
IgniteHQ is not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Information about children or dependents may be entered by a parent, guardian, advisor, or advisory firm as part of financial planning.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted with a revised "Last updated" date. If changes are material, we may provide additional notice through IgniteHQ or by email.
